Contact form and email

We use your name, email address, company if provided, and message to respond to your enquiry, based on our legitimate interest in handling incoming requests. Required fields are needed for us to reply. Recipients are authorised members of our team, OVHcloud for hosting, Resend for sending form submissions, and Google Workspace for email.

General enquiries are kept for 12 months after the last exchange, then moved to Trash and erased after a further 30 days. If your enquiry leads to a contract, only necessary information is retained in the customer file. Documents required to meet a legal obligation or defend legal claims are archived separately for the applicable statutory retention or limitation period.

Operation and security

OVHcloud processes technical connection data, including IP addresses and access logs, to operate and protect the website, based on legitimate interests. Retention depends on the hosting provider’s security needs and applicable legal obligations.

The form uses pseudonymised identifiers to prevent abuse and duplicate submissions. They expire after 30 minutes to 32 days, depending on the check, and are purged when a new submission is made. Messages are not stored in these counters. Your language choice remains only in your browser until you clear it.

Providers and international transfers

Service providers may process data outside the European Economic Area, including in the United States. Depending on the destination, these transfers rely on an adequacy decision or standard contractual clauses. Safeguards are available from OVHcloud, Resend and Google Workspace.

Your rights

You may request access, correction, erasure or restriction of your data, object to processing, and leave instructions about your data after your death, subject to applicable law. To exercise your rights, contact contact@kallistos-systems.com. You may lodge a complaint with the CNIL.
